Possibilities with Encode

Encode has been specially developed for marketing departments and advertising agencies and is therefore able to support many different processes. Here are just a few of the possibilities.

Encode’s modular structure enables you to create your own customised solution.

Campaign development and project management

Create your own project templates where you manage briefing, creative proposals, approval of materials, project participants, deadlines, etc. View the status of files throughout or during certain phases of the project, including possible delays. Use e-mail notification to let people know whether a project is close to a milestone or is overdue. All parties have access to relevant material; the marketing department, advertising agency, printer and photographer, etc.

Campaign planning and media plans

Establish schedules and media plans, make materials accessible online, inform project participants and view everything in Gantt map, which provides an overview of ongoing, completed and forthcoming campaigns. Maintain an overview of countries, offices, markets, products, etc. Distribute material (videos, online materials, PDF files, etc.) to the media using links to files or direct e-mail attachments.

Extranet

Create a portal to service external partners. Using an extranet, all external parties can gain access to relevant information, 24/7. Reduce the time to product launches and achieve closer collaboration with people in “the front line”. Create “best practice” knowledge banks where local departments contribute with their knowledge and experience. Send out inquiries and get input to current challenges. This is invaluable knowledge sharing that lifts the organisation to a higher level.

Service for dealers and subsidiaries

The central element of an extranet is access to updated, relevant material. Compile “material kits” on lists that can quickly be downloaded in their entirety. Use the ordering function for print and POS material, for example.
Give dealers, subsidiaries, distributors, etc. access to translation and possible completion of advertising material based on brand guidelines. With access management, you ensure that everyone sees what is relevant to them, here and now, and you can adapt the system to individual markets.

Workflow and online proofreading

With a good workflow system, everyone can view their current tasks and assignments immediately. Use workflow to develop material from creative proposal to finished PDF, video or online banner, etc. Give different people access to the material in accordance with the phase in the workflow (call us and we will be happy to explain what this means). Insert “yellow notes” in PDF documents directly in the system and write comments for the individual documents. Following corrections, you can still view the old comments, and version management allows you to view and download earlier versions of the document.

Translation

Local markets have local requirements. Different languages require translation of the material, and in some places other images must be used. Use Encode to ensure efficient localisation of materials and allow translators to work in a layouted file with the option of centralised completion using DTP.

Encode has extensive experience working with a number of the biggest Danish retail chains and can offer an effective solution that is affordable for small retailers while carrying out the workload of their larger counterparts. The system can be integrated with most ERP and image systems.

Sales and pipeline system

A sales and pipeline system provides you with an overview of current sales activities, the status of potential customers, and what activities sales reps. are actually engaged in. Gain a realistic pipeline value and see who is to be contacted and when.
Gain an overview of how far the sale is in the pipeline by checking a number of different qualified parameters (customer’s budget, final decision-makers, etc.) and extract a call list for day-to-day work.

Contact report

Note down in the system every time contact has been initiated with a prospective customer. This provides a solid basis for continued initiatives with the prospective customer and ensures that you do not forget what has been promised earlier in the process. PR

State which external rights you have to the material so that you avoid infringing copyright laws. Ensure that the media agency files the cuttings in your system so you have full control over the material.
Collaborate on press releases, development and approval. Save the broadcast times, which media have received them, and register the subsequent media coverage (or leave this to the media agency!).
